Getting started with Cloud-based systems

Here's a step-by-step guide to getting up and running with TimePilot's Cloud-based systems:

1. Install TimePilot Central 5 Management Software

Within one business day after placing your order, we'll send you a download link and a serial serial number so you can download and install the TimePilot Central 5 Management Software. Install the software and when requested enter the serial number.

The software's setup wizard will start. It will guide you through a series of questions about your organization's work and pay policies. At the end of the process, you'll enter data about your employees.

2. Set up time clocks on your employees' PCs and phones

Once you have the management software set up, it's time to install the time clocks.

  1. Start TimePilot Central 5 and click the "Clock Manager" button on the left side of the screen.
  2. All of the clocks that you install on PCs and on phones will appear here. Click the "Add New Clock" button at the top of the screen.
  3. Choose your clock type. Currently you can choose between TimePilot PC (for PCs) and TimePilot Mobile (for smartphones). The other clocks are not available yet, but coming soon.

Set up smartphones

  1. Click the button for smartphones and then "Next."
  2. Decide who will be able to clock in and out on this phone. If it's more than one person, we suggest checking the "Employees use 4-digit ID" box. This will force employees to enter their ID number before tapping the "In" or "Out" button on their phone, so you know which employee is clocking in and out. If the phone will be used by only one person, there's no need to check the box. Now download the TimePilot Mobile app onto the phone from Apple's App Store or Google Play. Click "Next."
  3. Start the app and enter the code that appears in TimePilot Central 5.
  4. That's it; now the phone and the management software are linked.

Set up employee PCs

  1. Click the button for TimePilot PC and then "Next."
  2. Give the clock a name, then decide who will be able to clock in and out at this PC. If it's more than one person, we suggest checking the "Employees use 4-digit ID" box. This will force employees to enter their ID number before clicking the "In" or "Out" button on their phone, so you know which employee is clocking in and out. If the PC will be used by only one person, there's no need to check the box. Click "Next."
  3. Take note of the installation code that appears. Now download and install the TimePilot PC software onto the PC. Start TimePilot PC on the employee's computer and enter the code.
